1. Overview

This Privacy Policy explains what personal data Mymeet.ai ("we") collects, why, how we protect it, how long we keep it, and the choices you have. Mymeet.ai is a service for recording, transcribing, and summarizing online meetings using AI. By using the service you agree to this policy; if you do not agree, please discontinue use. The service is intended for users in the United States and other regions where we make it available, and it is not directed to or offered to individuals in the European Economic Area (EEA) or the United Kingdom. You own your content. You retain ownership of your recordings and transcripts; we act as a custodian that processes them to provide the service. We do not sell your personal data, and we do not share it for advertising or other unrelated purposes.

2. Who We Are

The service is operated by Ilya Berdysh IE, an individual entrepreneur registered in the Republic of Armenia, acting as the controller of personal data processed through the service.

3. Data We Collect

  • Account data: email address; if you sign in via a third-party provider (e.g., Google), your email, name, and profile image URL.

  • Usage and diagnostic data: IP address, device type and identifiers, referral source, operating system, approximate location, browser type/version and plugins, language settings, pages visited and navigation paths, timestamps, and similar diagnostics collected with your permission.

  • Cookies and analytics: see §9.

  • Meeting content: audio/video recordings of online meetings and their content (which may include your voice and image depending on your settings), and transcripts produced from them.

  • Bot-customization materials: the bot's display name, avatar, image, greeting message, and similar elements you configure — to the extent they identify a person.

  • Payment data: payment-card details when you pay for the service.

  • Support communications: information you send us through support or feedback channels.

  • We do not intentionally process biometric data, and the service is not directed to children under 18.

4. Why We Use Your Data

We process personal data to: create and operate your account; provide the service and its features (recording, transcription, summaries); respond to support requests; process payments; send service or marketing communications where you have consented (you may withdraw consent at any time); and analyze usage data (not the content of your meetings) in aggregated or de-identified form to improve the service. We process data on the legal bases available to us, including your consent, performance of our agreement with you, and compliance with law.

5. Where Data Is Stored

Production data is stored in Google Cloud Platform, Netherlands (europe-west4), encrypted in transit (TLS) and at rest. Raw meeting audio and video are processed in-process; only the final encoded recording and transcript are persisted.

6. How Long We Keep Data

Raw meeting audio/video is destroyed immediately after transcription completes; if transcription fails, the raw file is kept for up to 3 days, then destroyed. Recordings and transcripts are retained for 30 days, then deleted. Account data is retained while your account is active and deleted within 30 days after the purpose ends, unless a longer period is required by law. If you uninstall or deauthorize our Zoom app, we delete the associated data and confirm deletion to Zoom through its data-compliance process.

7. Sharing and Sub-processors

We share personal data only with vetted sub-processors that help us provide the service, bound by confidentiality and data-protection obligations, and as required by law. Our sub-processors fall into the following categories: cloud hosting and object storage (Google Cloud, Netherlands); speech-to-text / transcription; AI / LLM summarization; analytics; and payment processing. A current list of named sub- processors is available to customers on request. Third-party transcription and AI (LLM) providers are contractually prohibited from using your content to train their models and operate under zero-/short-retention terms. For business customers we make a Data Processing Agreement (DPA) available. Our data controller and contact for data-protection matters is Ilya Berdysh IE (details above).

8. Your Rights and Controls

Depending on your location, you may have rights to access, correct, delete, restrict, or object to processing of your personal data, to data portability, and to withdraw consent. To exercise these rights, contact us at hello@mymeet.ai. We respond within the timeframe required by applicable law. You may also have the right to complain to your local data-protection authority.

In addition, you can delete individual recordings or transcripts at any time, and you can delete your account; when you delete your account, associated personal data is purged within 30 days, except where retention is required by law. You can also secure your account with two- factor authentication (2FA) and single sign-on (SSO) via common identity providers.

9. Cookies

We use cookies to operate the service securely and to improve it and your experience. On first visit we request your consent via a banner; you can accept or decline non-essential cookies and change your choice later in your browser. Declining some cookies may limit functionality.

10. Recording Consent

The recording bot joins as a visible participant, and recording permission is granted by the meeting host. As the user, you are responsible for obtaining any consent required from other participants before recording.

11. Changes and Contact

12. AI and Your Data

We use AI to transcribe and summarize meetings. We do not use the content of your meetings — including recordings, transcripts, or derived summaries — to train our AI models. Third-party transcription and AI providers we rely on are contractually prohibited from training their models on your content and operate under zero-/short-retention terms. We do not sell your content, and we do not use it to serve advertising.

13. Compliance

We design our controls to align with recognized security and privacy principles. We do not currently hold a third-party security certification; achieving SOC 2 Type II is on our 2026 roadmap

14. U.S. State Privacy Rights

If you are a resident of California or another U.S. state with a comprehensive privacy law (for example, Virginia, Colorado, Connecticut, or Utah), you may have the right to know what personal information we collect, to access it, to correct it, to delete it, and to opt out of the "sale" or "sharing" of personal information and of targeted advertising. We do not sell or share your personal information, and we do not use it for cross-context behavioral advertising. We will not discriminate against you for exercising your rights.
